Executive Assistant/Creative Coordinator

Summary

Provides support to the Chief Creative Officer and Creative Department.

Responsibilities

EXECUTIVE ASSISTANT

  • Provides administrative support to the CCO
  • Manages calendar, coordinates appointments and prepares agendas
  • Manages and submits CCO’s expense reports
  • Arranges and coordinates all travel schedules and reservations
  • Greets scheduled visitors and guides to appropriate individuals
  • Handles personal errands and other miscellaneous tasks

CREATIVE COORDINATOR

  • Manages Creative Department vacation requests and timesheet submissions
  • Organizes and prepares company awards
  • Schedules freelancers and storyboard artists for creative projects
  • Coordinates, selects and recommends talent portfolios for upcoming jobs
  • Researches and coordinates vendors/photographers to come into de for pitch presentations
  • Maintains awareness of visual trends in the graphic arts field
  • Purchases stock photography from stock houses
  • Manages stock photography library for each account
  • Assists in social media content
  • Leads creative culture meetings, researching events for creatives, coordinates all creative department parties including birthdays, baby showers…
  • Manages creatives expense reports, getting signature from CCO and turning into accounting
  • Purchases and supplies all creative art supplies making sure all supplies are current
  • Provides an open door for creatives to discuss any needed concerns
  • Maintains cleanliness of the creative area and creative conference room
  • Manages creative intern
  • Manages creative WIP sheet
  • Attends all client status meetings allowing for a general idea of work in progress

Qualifications

  • Works efficiently in a fast-paced environment
  • Ability to work well independently and exercise good judgment
  • Proactive,self-starter able to prioritize and multitask
  • Excellent verbal and written communication skills
  • Exceedingly well organized, detail oriented and flexible
  • High energy, poised and professional demeanor
  • Must be able to keep information confidential
  • Must be able to problem solve on their own
  • Proficient in Advantage and Google Suite
